Massachusetts Department of Criminal Justice Information Services (“DCJIS”) Compliance Policy for On-Site Shredding Services

DCJIS-Compliant Document Shredding Services

Valley Green Shredding (VGS) is proud to provide secure, compliant shredding services tailored specifically to meet the requirements of Massachusetts Department of Criminal Justice Information Services (DCJIS) regulations. As a trusted partner to DCJIS-compliant agencies, departments, and businesses, VGS is committed to ensuring the secure and compliant destruction of sensitive documents, including those containing Criminal Offender Record Information (CORI).

A Policy Designed for DCJIS-Compliant Agencies
To ensure that we meet the strict compliance requirements of DCJIS, VGS has developed, adopted, and implemented a policy tailored specifically for agencies and businesses handling CORI or similar sensitive information. This policy reflects our dedication to maintaining the highest levels of security and professionalism.

Maintaining the Chain of Custody
DCJIS regulations mandate that compliant agencies maintain control of sensitive documents until the point of shredding to ensure the chain of custody remains intact. VGS supports this requirement by offering exclusive on-site shredding services for DCJIS-compliant agencies. This approach allows your agency to retain custody and oversight of the materials until they are securely destroyed, mitigating any potential security risks.

Witnessing Services for Added Assurance
As per DCJIS, to comply with DCJIS standards in lieu of conducting a CORI check, your agency must provide a CORI-compliant staff member to witness the shredding process. This ensures that the care, custody, and control of sensitive information remain in your agency's direct oversight throughout the shredding service.

CORI Policy for On-Site Shredding
While VGS rigorously screens its employees through background checks before hiring and periodically during their employment, we recognize that additional measures may be required for DCJIS-compliant agencies. To address these needs, VGS has adopted a dedicated CORI compliance policy that can be added as an addendum to your service contract.

Key Features of the CORI Policy:

  1. Advance Notification: Notify VGS at least 10 days before your scheduled shredding service if you require a CORI check on the assigned technician.

  2. Employee Identification: VGS will provide the employee’s name, date of birth, and social security number for your agency to conduct the CORI check.

  3. Confidentiality and Decision: Your agency is responsible for conducting the CORI check under Massachusetts law (MGL c. 6, sec. 172) and keeping the results confidential. If an employee is declined based on the results, VGS will assign an alternative technician for screening.

  4. Limitations: CORI checks may only be requested for the technician directly assigned to your service. Requests made less than 10 days prior to the service date may not be accommodated.

  5. Formalized Policy: This CORI compliance policy is formalized as an addendum to your service agreement with VGS, ensuring clarity and compliance with DCJIS standards.
